Assistant Manager, Admissions

Purpose

The admissions department is responsible for planning, organizing, maintaining, and managing the processes and operations of admission and registration services for all of BYLC’s leadership programs.

Core responsibilities

  • Plan, organize, maintain, and manage the processes and operations of admission and registration services which include:

              - developing online and paper-based admission forms and questions

              - preparing assessment tools and frameworks for candidate selection

              - organizing interviews  

              - shortlisting candidates based on academic result, written exam, and interview

              - completing the selected candidates’ registration process

              - identifying candidates who are eligible for financial aid and providing them necessary aid  

  • Develop, recommend, organize, and administer BYLC’s policies and procedures pertaining to the admissions and registration of all students
  • Develop communication plan for admissions and registration of students
  • Maintain regular communications and provide necessary information to BYLC alumni, present students, potential candidates, guardians, educational institutions, and other relevant stakeholders through email, phone, and physical interaction
  • Collect and analyze a variety of complex data and information regarding admissions, registration, online processes, telephone helpline, and direct services
  • Oversee the documentation, security, and confidentiality of student records
  • Present admissions and registration information to a variety of audiences
  • Collaborate with staff, faculty, administrators, and internal departments to research and resolve complex student issues relating to admission, dual enrollment, registration, cancellations, and refunds
  • Research and diagnose issues from a “systems” perspective and design strategies to resolve admissions and registration system
  • Publish the schedule of admissions and registration dates and times
  • Establish and maintain an annual calendar of admissions and registration events and track progress

 Benchmark activities

  • Coordinate with the marketing team and communications team to publish admissions related posts on BYLC website and social media
  • Monitor department budget, ensure compliance, implement and allocate resources following budget approval, and approve expenditures
  • Supervise subordinate team members and manage a pool of volunteers, script checkers, and interviewers
  • Oversee the issuing of student/staff identification cards and related equipment and supplies
  • Assist with administrative tasks as required and directed by the line manager

Requirements

Education

  • Graduate in Human Resource Management or any relevant field

Experience

  • 3-4 years’ relevant experience in any educational institute’s admissions process
  • Experience in analyzing qualitative and quantitative data
  • Excellent interpersonal communication and customer service skills

Skills

  • Strong organizational and administrative management skills with attention to detail
  • Must be proficient in developing and maintaining database using MS excel and/or MS access
  • Must be proficient in both English and Bengali
  • Strong analytical skills
  • Proficient in reporting

Assistant Manager, Monitoring and Evaluation

Purpose

The prime responsibility of the Assistant Manager, Monitoring and Evaluation, is to contribute in developing the monitoring and evaluation system and to provide support in improving the impact of BYLC programs.

Core responsibilities

  • Develop and strengthen BYLC’s program planning, monitoring and evaluation procedures. Conduct pre-post evaluations on all programs on an ongoing basis
  • Report monthly, quarterly, half-yearly and annual progress on all project activities to senior management and assist President in BYLC’s internal audits
  • Assist the various departments in gathering information and statistics for program documentation and reports; proposals and grants; annual reports and other communication materials
  • Suggest and implement strategies in various departments for improving the reporting systems, develop monitoring and impact indicators for project success; bring efficiency and effectiveness in the programs by identifying bottlenecks in completing project activities; and develop plans to minimize internal and external risks
  • Conduct training and information workshops for capacity building of staff on various monitoring and evaluation tools
  • Generate new ideas for future program development and provide analytical insight

Requirements

Education

Graduate in economics, statistics or any research related field

Experience

  • 3-4 years' experience in research related work

Skills

  • Qualitative and quantitative research knowledge
  • Proven experience in writing research proposals and reports
  • Commendable data analysis and interpretation skills
  • Must be proficient in MS Excel
  • Outstanding report writing and presentation skills
  • Knowledge on statistical analysis software (e.g. SPSS/STATA) would be an advantage

  • Communicate with candidates regarding their interview and selection

  • Collect the payment for registration process and submit it to the finance and accounts department

  • Assist with administrative tasks as required and directed by the line manager

Creative Assistant, Office of Professional Development

The Office of Professional Development (OPD), a key unit of Bangladesh Youth Leadership Center (BYLC), provides world class professional development training exclusively to BYLC graduates with an aim to prepare them for successful careers for public, private, and civil sector. OPD provides holistic, intensive, and interactive training that focuses on all aspects of career development and also provides job and internship placement services exclusively for BYLC graduates.

Purpose:
The Creative Assistant will plan and incorporate design concepts, create marketing materials, and collaborate with external vendors to ensure top-quality graphic materials.

Core responsibilities:

  • Plan and design website contents, marketing materials, and program brochures
  • Develop, coordinate, and maintain website content and social media communication
  • Prepare program related communication materials in print, electronic, and social media
  • Build and maintain relationships with relevant stakeholders including media, vendors, and administrators
  • Plan, develop and drive marketing campaigns

Requirements:

  • Minimum bachelor’s degree in any discipline
  • Well versed in graphics design with experience in designing and developing marketing campaign
  • Advanced knowledge in Adobe Illustrator, Photoshop, InDesign and Lightroom
  • Knowledge in Adobe Premier Pro and After Effect is preferred

Assistant, Front Desk

Purpose

The Assistant, Front Desk, will be the first point of contact—the face and voice of BYLC. S/he will be responsible to provide a welcoming atmosphere to guests and attend phone calls in a warm, courteous, and professional manner. Furthermore, s/he will assist guests as they enter the office and direct them to the appropriate employee. S/he will be responsible for maintaining office attendance, inventory of office supplies, and other stocks, coordinating classroom and meeting rooms, and supporting other administrative tasks. We are seeking a candidate with a proactive attitude, positive energy, and outstanding communication skills. Candidates should demonstrate exceptional organizational skills and have the ability to multi-task in a fast-paced environment.    

Contract type

Contract duration six months with possibility of transfer to permanent employment.

Core Responsibilities

  • Receive and greet guests as they enter the building, and navigate them to the right place
  • Supervise and guide security guards for greeting visitors, checking ID, and have them sign visitors’ log
  • Be aware of guests who are expected, ongoing/upcoming programs, and the events that are occurring each day
  • Receive and answer phone calls, assist people with necessary information, and transfer calls to appropriate parties
  • Keep track of daily and monthly attendance and leave of employees
  • Maintain and update the staff sign-in sheet, contact information, birthdays, movement records, and holidays
  • Record, file and track all incoming and outgoing courier/mail, and distribute them to the right place with notification
  • Assist employees with mailing and shipping packages
  • Develop and maintain an inventory management system, particularly for food, goodies, office stationeries, toiletries, first-aid items and other consumables
  • Prepare monthly purchase orders and coordinate procurement for food, office stationeries, and other consumables
  • Assist in the admissions and registration process of program participants
